Administrative Coordinator - Operations

Footprints Security is a 100% locally owned and operated security and guest services provider, proudly serving Vancouver Island since 1980. Footprints Security is seeking an experienced and energetic administrative professional to join our Head Office team in an Administrative Coordinator – Operations role.

Reporting to the Operations Manager, the Administrative Coordinator – Operations is responsible for a variety of key administrative and coordinator functions in support of our Central Island operation. Working in a fast-paced, dynamic environment, the right candidate will be able to think critically, act quickly, and prioritize effectively in this highly administrative role. Excellent computer skills and the ability to multi-task are required for this position.

General Responsibilities:

  • Complete a variety of complex and detail-oriented administrative tasks in support of the Central Island operation
  • Prepare, maintain, and distribute various reports both internally and externally
  • Complete intermediate-advanced level work in MS Excel and other computer programs
  • Maintain accurate and organized company file systems and operational equipment inventories
  • Manage multiple simultaneous and competing priorities effectively and efficiently, within minimal supervision
  • Fleet maintenance administration and coordination
  • Complete data entry in a timely and accurate manner
  • Perform a variety of operational tasks, including operational supply coordination, purchasing, and organization
  • Follow-up with and act as a liaison with various individuals, both internally and externally, at all levels of the organization with the highest level of customer service
  • Perform daily errands and basic cleaning tasks
  • Other duties as assigned

Required Qualifications and Skills:

  • University degree preferred, will consider experience in lieu of formal education
  • Advanced computer skills assumed, including advanced Excel skills
  • Minimum of 3 years experience in an administrative and/or operational role in a busy, dynamic office environment
  • Valid Class 5 or 7 BC Drivers Licence
  • A team player with a positive attitude and willingness to jump in and assist
  • Ability to be productive and efficient with limited supervision
  • Eagerness and ability to learn quickly
  • Ability to work with precision and accuracy while demonstrating attention to detail
  • Strong organizational and planning skills in an office environment with fluctuating volumes and demands
  • Ability to mitigate problems and find creative solutions
  • Effective communication skills, both verbally and in writing
  • Ability to work well under pressure in a fast-paced, dynamic environment
  • Excellent time management skills and ability to multi-task while prioritizing work
  • Exceptional organizational skills and attention to detail
  • Able to safely handle the physical elements of the position, which includes lifting (<10 KG), bending, crouching, and reaching
